Purpose of the Job
The incumbent will report to the Property Manager and will also serve as the initial point of contact for visitors and tenants in a high-rise office building with multiple companies. This role is crucial in creating a welcoming environment, providing excellent customer service, and ensuring the smooth operation of the front desk. The officer is responsible for managing the reception area, handling inquiries, maintaining security protocols, and coordinating with building management and tenant companies. This position requires standing and sitting for extended periods.

Key Responsibilities

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct phone calls, taking messages and providing information as needed.
  • Respond to tenant and visitor inquiries promptly and accurately.
  • Provide directions and general information about the building and its facilities.
  • Monitor and manage access to the building, ensuring only authorized individuals enter.
  • Issue visitor badges and maintain visitor logs.
  • Collaborate with security personnel to enforce building security protocols.
  • Report any suspicious activity or security concerns to the appropriate authorities.
  • Maintain an organized and tidy reception area.
  • Manage incoming and outgoing mail and packages for tenants.
  • Assist with scheduling and coordinating meeting room bookings.
  • Perform clerical duties such as filing, photocopying, and data entry as required.
  • Serve as a liaison between building management, tenants, and visitors.
  • Communicate effectively with tenants regarding building updates, maintenance schedules, and other relevant information.
  • Coordinate with maintenance and cleaning staff to address any issues promptly.
  • Follow building emergency procedures and protocols.
  • Assist in the evacuation of the building during emergencies.
  • Maintain an up-to-date understanding of emergency contacts and procedures.
  • Attend regular training sessions on customer service, security, and emergency procedures.
  • Stay updated with the building’s policies, procedures, and any changes in tenant information.


Qualifications

  • High school diploma or equivalent; additional qualifications in office administration or customer service are a plus.


Experience

  • Previous experience in a front desk, reception, or customer service role, preferably in a corporate or high-rise office building setting.

  • Proficiency in using office equipment and computer software (e.g., MS Office).
